Axiom Automation (ABN 24 965 718 329) is committed to protecting your personal information. This policy explains how we collect, use, store and disclose personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Who we are

Axiom Automation is a sole trader business operated by Haylen Welch, based in New South Wales, Australia. We provide workflow automation and system integration services for small to medium service businesses.

2. What personal information we collect

We may collect the following types of personal information:

  • Your name, email address, phone number and business name (provided when you contact us through our website form or email)
  • Information about your business operations relevant to delivering our services
  • Credentials and access details you provide to connect your business tools to our automation workflows

If you are a client, we may also have access to personal information belonging to your customers (such as names, email addresses and phone numbers) in the course of building and operating automation workflows on your behalf.

3. How we collect personal information

We collect personal information directly from you when you:

  • Submit the contact form on this website
  • Email us or call us
  • Enter into a service agreement with us
  • Provide access credentials during onboarding

We do not collect personal information from third parties or public sources for marketing purposes.

4. Why we collect personal information

We collect and use personal information for the following purposes:

  • To respond to your enquiry or request for a call
  • To provide, manage and maintain automation services you have engaged us for
  • To communicate with you about our services
  • To comply with legal obligations

We will not use your personal information for any purpose other than those stated above without your consent.

5. How we store and protect personal information

  • All credentials and access details provided by clients are stored in an encrypted password manager.
  • We do not store personal information in unsecured locations or share it with third parties.
  • Access to client data is restricted to Axiom Automation personnel only (currently the sole operator).
  • We use secure, reputable cloud platforms for all service delivery.

6. Third-party services

Our website and services use the following third-party tools that may process data in accordance with their own privacy policies:

  • Calendly — for booking scheduling. Calendly Privacy Policy
  • Google Fonts — for web typography. Google may collect usage data. Google Privacy Policy

When delivering automation services, we may connect to third-party platforms (Gmail, Google Sheets, HubSpot, Calendly) on your behalf and with your explicit consent. We only access these platforms for the purpose of building and maintaining the agreed workflow.

7. Cookies

This website does not set first-party cookies. Third-party embeds (such as Calendly) may set their own cookies. You can manage cookie settings in your browser.

8. Disclosure of personal information

We do not sell, rent, trade or otherwise disclose your personal information to any third party. We will only disclose personal information if:

  • Required by law or a court order
  • Necessary to prevent a serious threat to health or safety
  • You have given us explicit consent to do so

9. Data retention and deletion

We retain personal information only for as long as it is needed for the purposes described in this policy. When our service relationship ends:

  • Client credentials will be deleted or returned within 5 business days
  • Contact form submissions will be retained for up to 12 months and then deleted

You may request deletion of your personal information at any time by emailing admin@axiomai.au.

10. Your rights

Under the Australian Privacy Principles, you have the right to:

  • Request access to personal information we hold about you
  • Request correction of any inaccurate or out-of-date information
  • Request deletion of your personal information
  • Withdraw consent for us to use your information

11. Data breaches

In the event of a data breach that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches (NDB) scheme.

12. Complaints

If you believe we have breached the Australian Privacy Principles, you may lodge a complaint by emailing admin@axiomai.au. We will investigate and respond within 30 days.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner at oaic.gov.au.

13. Changes to this policy

We may update this policy from time to time. Any changes will be posted on this page with an updated date. We encourage you to review this page periodically.
